Webinterpret Shipping

Webinterpret's international shipping service automatically selects the most affordable route and service from dozens of international couriers, saving you time and money. Linnworks integration allows shipping orders to a domestic shipping hub of Webinerpret using your existing courier. Please note that this integration was developed as an external application by a member of the Linn Systems team.

Webinterpret Shipping configuration steps are different from other shipping integrations. This guide will explain how to integrate Webinterpret Shipping account with Linnworks. It will require:

  • Download the application
  • Setting up of 2 macros
  • Setting up a rule in Rules Engine
  • Configure a view to have Folders column

Please Note! Currently, only eBay orders can be shipped using WebInterpret integration.


How to add Webinterpret Shipping integration?

1. Download the Webinterpret Shipping application. Go to APPS > Application Store > find and install Webinterpret Integration.


2. Configure macros. Go to APPS > Macro Configuration > click +Add New Configuration > fill in the Parameters information for both WebInterpret macros:

Please Note! The sending address in the parameter must be either United Kingdom or United States as Webinterpret only supports those two countries at the moment.

Values that are specified in the parameters will be used when the macro invokes. Parameters that have a tick in the Required column are obligatory, the rest are optional.

  • Origin name: Name of who is sending the parcel. Required.
  • Origin surname: Surname of who is sending the parcel.
  • Origin email: Email of who is sending the parcel.
  • Origin phone: Phone number of who is sending the parcel.
  • Origin company name: Company name which is sending the parcel.
  • Origin Street 1: Street1 from which the parcel will be sent. Required.
  • Origin Street 2: Street2 from which the parcel will be sent.
  • Origin City: City from which the parcel will be sent. Required.
  • Origin Postal Code: Postal code from which the parcel will be sent. Required.
  • Origin State: State from which the parcel will be sent.
  • Origin Country: Country from which the parcel will be sent. Currently, only the United Kingdom and the United States are supported. Required.

The second macro has a schedule and parameters to configure. In the schedule, you will specify how often you would like the macro to run and check if any new Webinterpret orders were downloaded.

  • Schedules

To add new click the + New Schedule button and enter a unique name to easily identify the schedule, eg 'Hourly' or 'Half Past the Hour' or 'Update Price'. Set the Frequency interval

  • Daily: a whole number defining how many days between each execution
  • Weekly: a whole number defining how many weeks between each execution
    • You will also be required to define which days of the week the schedule should be executed on

After the schedule has been fully defined click the Save button to add the schedule. More than one schedule can be created.

  • Parameters

  • Locations: Comma-separated values of location names from where to get the orders. Required.
  • Folder Name: Folder in which the orders will be assigned once they have the invoice printed. Required (Default value: “WI Ready For Despatch”).

When both macros are configured and saved, make sure that they are enabled:

3. Configure rule in the Rules Engine for the first, not-scheduled macro. Go to Orders > Rules Engine > click +Add New Rule > give it a name > Click Yes to edit it now.

Add new > Condition.Create the following condition [Source equals EBAY] to make sure that the condition doesn't conflict with the integration.

Add new > Action. For the Action type select Execute a macro and for Action value select the name of the configuration created for the Rules Engine macro.

Configuring a View

When the Rules Engine macro runs, it assigns the WEBINTERPRET identifier, after the invoice is printed for the order, it will be moved to a folder WI Ready For Despatch, also such orders will have Webinterpret identifier (Please Note!  Webinterpret identifier is only seen in the new Open Orders screen). Both folder and the identifier are created by macro automatically.

You can configure and save a view that will display Webinterpret orders to highlight these orders and improve your day to day efficiency. To add Folder column to your view in Open Orders screen go to Edit View screen and in the Columns and select Folder.

In the Filter section click button Change to open filter configurator, include orders from a folder you need and click Apply. For example:

Despatch Notification

Once an order is processed in Linnworks, the system can send a despatch notification to eBay so that the order is marked as shipped, and tracking number (if available) along with the selected shipping vendor will be submitted to the channel. To achieve this, a relevant postal service should be added in Linnworks and the corresponding option needs to be enabled in the Channel Integration:

  • Postal Service. Create postal service with the vendor name Other because eBay accepts only the vendors from a specified list and if the vendor does not exist, the value for the vendor has to be "Other".

  • To enable despatch notifications, you need to go to Settings > Channel Integration > Edit Channel Details > Order > enable Despatch notes:

The configuration is now done.

During the first run, the macro will create a folder for Webinterpret orders and a new identifier. It is possible to set an image for the identifier for easier distinction.  Go to Settings > General Settings > Order Settings > Identifiers > click on WEBINTERPRET. More documentation about it here in the Identifiers section.

User Guide

Now that all the settings are configured follow the below steps to use the Webinterpret integration:

  1. Select a shipping service to send the parcel to the Webinterpret Hub for the order(s).
    • Select and right-click the order(s) > Action > Bulk Change > Change Shipping Method > select the vendor and service.
  2. Print the label(s).
    • Select and right-click the order(s) > Print > Shipping Labels.
  3. The order will be automatically moved to the Webinterpret folder.
  4. Process the orders which are in the Webinterpret folder.
    • Select and right-click the order(s) > Action > Bulk Change > Process Orders.
  5. Despatch notification will be sent.
