Virtual Printer - Configuration

Once the Virtual Printer Client is installed the physical printers connected to the network and to be used by must be added to the Virtual Printer Client.

This guide details how to Add / Remove printers and configure available settings.

Adding a Virtual Printer

Adding Printers to Virtual Printer will allow them to be used within

  1. Click on Add Printer.
  2. Choose a printer from the dropdown list of those installed on the PC.
  3. Enter a Printer name to distinguish this installed Printer from any others that might be added.
  4. Click Add Printer.
  5. The new Printer will show up in the list. The status window underneath will show the last action performed.

In order to have one virtual printer connected to multiple printers, the virtual printer client can be downloaded multiple times and saved in different locations on the same machine.
As long as the printer name and type are the same for both/multiple clients this will allow for printing over multiple printers. An example where this circumstance may be useful: In the case where one client might be used as a backup for a primary if the primary disconnects.

Please Note: Same printer name but different paper sizes or configurations might cause issues

Removing a Virtual Printer

If necessary, printers can also be removed from the Virtual Printer application.

  1. Locate the Printer in the Printer list.
  2. Click on the Red X to remove the entry.
  3. The list will update, and the log at the bottom of the application will report Printer configuration sent to server successfully.

Changing Settings in the Virtual Printer

 There are 4 primary options that are configurable in the Virtual Printer client application, in addition to the Printers themselves.

Start Program when computer starts

Defaults to off. When this setting enabled, Virtual Printer will always be loaded to ensure the printer is available for use by

  1. Select the Virtual Printer menu.
  2. Select the Preferences Menu option.
  3. Check the box labelled Start program when computer starts.
  4. Click OK or Apply.

Show balloon tip at tray when printing is in progress

Defaults to on. When enabled, this setting ensures the user is always aware if Virtual Printer is being used to print a document through their PC.

  1. Select the Virtual Printer menu.
  2. Select the Preferences Menu option.
  3. Check the box labelled Show balloon tool tip at tray when printing is in progress.
  4. Click OK or Apply.

Virtual Printer Name

Defaults to PC Name. Changing this value affects the reference name shown in the print menu. All Printers installed on this PC through Virtual Printer will show up under this name/value.

  1. Select the Virtual Printer menu.
  2. Select the Preferences Menu option.
  3. Change the content of the Virtual Printer Name field.
  4. Click OK or Apply.

This should change the value shown in after a short delay.

Preferred size unit

Defaults to inch. Select the unit used to show the size of paper/documents in Virtual Printer configuration.

  1. Select the Virtual Printer menu.
  2. Select the Preferences Menu option.
  3. Check the appropriate radio button for either inch, cm or mm.
  4. Click OK or Apply.

Printing with Virtual Printer

The Virtual Printer is tightly integrated with As such, in any right click menu that features a Print Option, there will be an option to use a Printer that is online (available) through the Virtual Printer functionality. In this example, the Open Orders screen will be used.

  1. Select an order, and right click it. Move the mouse over Print, and then over Print Invoices. A new menu should show.
  2. Hover over the entry with the name of the current PC. Learn how to set this name in the Virtual Printer client here.
  3. Select the Printer to print to. If the Printer is greyed out, it is Offline and not available to print to. check the Virtual Printer application and the printer.
  4. The document will be printed out in appropriate location after left clicking a printer that is available.

Proxy Settings

If you require your virtual printer client to run behind a proxy server, do the following

  1. Open the Virtual Printer Client
  2. If you are already logged in, go to Virtual Printer > Disconnect, to return to the log in screen
  3. On the log in screen, click the settings button
  4. Enter your proxy server details, and click save
