Export Data

Overview
In this section, Linnworks.net's Automated Export facilities are covered. One-off or scheduled tasks can be scheduled to pass data from the system into an external file. The frequency of these exports can be set to meet a range of requirements

Accessing Export Data

  1. Select Settings > Import & Export data
  2. Select Export data
  3. The Data Export screen will be displayed

Export Data Screen Overview

The Data Export screen is used to create, configure and manage the exports that are set up as well as checking logs of the export execution history

 Buttons

  • Add Scheduled Export - use this option to create a new scheduled export
  • Export Now - use this option to create a one off export that is run on a adhoc basis

The biggest difference between the Add Scheduled Export and Export Now exports is that a schedule can be set up with when an export is set up via the Add Scheduled Export button. A schedule does not have to be defined and so it can mimic the behaviours of Export Now, with the added benefit that information about the file and column mapping is saved in the config. This allows the export to be run on an ad-hoc basis by clicking Run Now. Export Once type exports will retain the information added when the export was created, but the configuration menu is opened for review and the Run Now button must be clicked before the export is queued.

 Grid View

Column NameDescription
Name The user friendly name given to the export to make to easily recognisable in the grid
Type The Linworks Export Type that is used to categorise the export
Enabled Exports can only be executed when an Export is Enabled. To toggle the state simply click on the button
Last Export The data and time in UTC the previous export was executed
Status of last export The outcome of the most recent export
  • Awaiting first run - The export has never been executed
  • Errors - The export failed, use View Log to investigate the cause
  • Success - The export executed with no reported errors
Next Export Date The expected time the next export will be executed
  • 2015 Dec 11 10:00:00 - This is an example of the next scheduled time for an export
  • Imminent - The export is already added to the active schedule and will execute shortly
  • Export disabled - As the export is disabled no information can be provided
  • Exporting - The export is currently running and generating an output file
  • Just Once - The export was defined using the Export Once button and therefore does have a schedule
  • Queued - The export will shortly be added to the active schedule, this occurs when selecting Run Now or Re-export options
  • Schedule disabled - The export does not have schedule defined, to execute the export either click the Run Now button or set up a Schedule
Options Use the buttons to manage the selected Export
  • Configure - Open the selected Data Export to reconfigure any of the settings
  • View Log - Open the logs to investigate the history of Export seeing when it was executed and if any errors were reported at the time
  • Copy - Copy button will copy the routine of the selected export 
  • Delete - Permanently remove the Data Export and all associated logs, there is no way to recover a Data Export once removed
  • Run Now - Linnworks will add the export to the queue and it will be executed shortly
  • Re-export - Avaialble for Export Once, you will be provided with the chance to update the configuration and click Run Now, the export will be added to queue and it will be executed shortly
