Folder Management

Overview
Linnworks allows you to customise your workflow by assigning orders to folders. For instance, if you have a number of high priority orders, they can be assigned to a Folder called 'Process Today' either individually, in bulk, via script or using the Rules Engine. Using a view with a filter to show that folder means that they can be delineated from other orders more easily.

General

As described in the overview, orders can be assigned to folders. Orders can also be assigned to multiple folders, however, you can restrict orders to being assigned to only one folder in General Settings. Please note that when deleting folders on Linnworks.net, the orders assigned to the folder will be unassigned. However, any view that has a filter specifying the deleted folder will still have the filter set, so that view will show no orders. In order to remove the filter, please do the following:

  • Edit the view
  • Click the Change button under the filters section
  • Select Folder from the Column drop-down menu
  • Click the  icon by the appropriate filter
  • Click Apply
  • Click Save

Accessing the Folder Manager

The folder manager can be found by right-clicking any open order, then selecting Folder > Folder Manager  

Adding and Deleting Folders

Adding Folders

  • Open the folder manager, as described above
  • Click Add New Folder
  • Click on the new text box to name the folder
  • Click Save

Deleting Folders

  • Open the folder manager, as described above
  • Click the  icon next to the relevant folder
  • Close the window
    • Please note that clicking the  icon will immediately delete the folder. Clicking Cancel or the  icon will not reinstate a folder. If a folder was deleted by accident, please add it using the procedure above

Assigning and Removing Orders from a Folder

To change folder assignments, please do the following

  • Make sure the folder exists by looking in the Folder Manager
  • Search for an order you wish to change its folder assignment
  • Right-click the order and go to Folder > Assign to a Folder > Select a folder from the list
  • To remove from a folder, right-click the order and go to Folder > Remove from a Folder > Select a folder from the list

As described in the overview, orders can be assigned to folders using the Rules Engine as well. 

  • Make sure a rule has been created and saved. 
  • Search for the order you wish to change its folder assignment
  • Right Click the order and go to Actions > Run Rule Engines.
    • Please Note, If "An order can only be associated with a single folder", option enabled in your General Settings, and the Rules Engine is running in an order that is already assigned to a folder, this order will be re-assigned and remove from its former folder.
  • To remove from a folder, go to Actions > Remove from a Folder > Select the folder from the list 

 

Note: When splitting orders, any new child orders that are created will inherit the same folder/s that the parent order was assigned to by Default. This setting can be changed in your Settings > General Settings > Order Settings > General Settings
