eBay Configurator

eBay Configurators host common details of listings such as listing type, return policy, payment methods, shipping info, attributes, categories etc. In addition, Linnworks makes use of multiple product descriptions, pricing, and titles stored in the system.

Creating an eBay Configurator 

To create an eBay configurator, go to Settings > Configurators > eBay > click the +Add New button.

Fill in the details and click Save:

  • Name: enter the name of the configurator.
  • Account: select the eBay account which you will be listing on.
  • Site: select the eBay international site.
  • Currency: select the currency that will be used on the listings.
  • Listing type: select listing type.
  • Returns: settings related to returns and refunds policies. More info here

  • Shipping: define shipping methods and shipping rules that are assigned to listings. More info here.

The configurator is now created and you can configure other settings.

Editing an eBay Configurator

When the configurator is created, make sure that you have configured all the sections. Below you will find a detailed guide for each of them

Name

The name of the configurator can be edited. The same configurator can be used to create listings for items that have similar listing settings, so you can use the configurator name to help differentiate between groups of listed items. 

Templates

The Templates column shows how many templates are assigned to the configurator (single listings/variations). Click on the number to see the templates.

Main Settings

In the Main window, you can define all general settings for the configurator:

  • Account:
    • Site: eBay international site where the listings will be created.
    • Currency: the currency for the listings.
    • Listing type: set the eBay selling format when creating new listings.
      • FixedPriceItem - non-auction listings with a set buy-it-now price.
      • Auction - auction listings.
    • Include VAT: if enabled, the system will automatically send the VAT percentage rate (e.g. 20%) to eBay listing but NOT add it to the listing price. Enable this option if your prices in Linnworks are final (including VAT) and you would like the system to add a specific percentage to channel listings created with this configurator.
    • Prefill with eBay catalog info: when ticked, Linnworks will use the item's barcode to search for an eBay catalog listing for the same item and add listing information from it.
  • Condition:
    • Item condition: set a default eBay item condition for all items listed using this configurator.
    • Extended property for condition: used to retrieve the item condition from a stock item extended property - this will override the default condition. The condition value in the extended property needs to be the item condition ID from eBay. Please refer to this list.
    • Extended property for condition note: use for items that are not new to retrieve the item condition note from a stock item extended property.
  • Listing settings:
    • Photo Display: used to toggle eBay SuperSize images on or off. This option needs to be available on your eBay account.
    • Default max quantity: when creating, updating or revising a listing through this configurator, this is the maximum stock level that will be submitted to eBay. Please note: subsequent inventory sync from Linnworks may increase the level on the listing if the real stock level is higher and if Max Listed on the channel config or the individual item is defined via a Data Import using a Stock Item Linking import type. This value in the configurator is only used when creating or updating the listing.
    • Default min quantity: when creating, updating or revising a listing through a configurator this is the minimum stock level that will be submitted to eBay regardless of the real stock level in Linnworks. Please note: subsequent inventory sync from Linnworks will change the stock level on the listing. This value in the configurator is only used when creating or updating the listing.
    • Max quantity per buyer: use to restrict the amount of the same item an individual buyer can purchase from a fixed price listing on eBay.
    • International visibility: this field is used by sellers who want their listing to be returned in the search results for other eBay sites. This feature is currently only supported by the US, UK, eBay Canada, and eBay Ireland sites. Please Note! that there is a separate fee for this service on eBay.
    • Use tax table: instructs the configurator to use the tax table that has been set up on eBay prior to listing.
    • Enable best offer: Best Offer lets buyers offer a price they're willing to pay on Buy It Now items. If enabled, the seller will also need to add Accept/Decline prices.
    • Use suggested by eBay categories: if ticked, a list of the most relevant categories for a specific listing will be automatically retrieved from eBay.
    • Global shipping program: tick if your eBay account is associated with eBay's global shipping program. More details here.
    • Sold on eBay: allows you to display RRP or strike-through price on eBay. More details here.
    • Scheduling listings: enables listings to be set to start at a specific time. More details here.
    • Auto select all images: if ticked, then all item images will be automatically selected when creating a listing template. If this option is not ticked, then only the main item image will be selected automatically.
    • Increase Variation Specification Limit: tick to allow unlimited variation specifications to be added to the configurator. It is useful when creating configurators that can be used for listing variation groups with different variation attributes.
    • Use Lots: if enabled, the configurator may be used to send lots to the eBay channel. A lot template can be created from a composite stock item which has a single child. The count of child items will be sent to eBay as the 'LotSize' option. Please Note! The setting works with composition items only.
    • Extended properties are splittable: if enabled, Linnworks will automatically convert extended property values that are separated by a comma (,) to a multiple-value eBay specification.
  • Product Identifiers:
    • Extended property for barcode: the barcode can be pulled from an extended property instead of using the standard barcode field from the inventory item. In the drop-down, select the name of the extended property to be used.
  • Charity:
    • Send profits to charity: enable to allow a percentage of this listing’s profits go to charity. More details here.
    • Charity organization: select the charity organisation that will receive your donations.
    • Charity percent: define the percentage of the sale's profits that will be donated to the selected charity.

Returns

In the Returns window, you can define the rules for returns of your items for listings under this configurator:

  • Business Policies: if you have access to eBay Business Policies on your eBay account, then you can set up returns profiles on your eBay account directly. Linnworks can create listings that make use of those predefined profiles. More details here.
    • Return Profile: select a returns profile for anything you list with this configurator. Please note, selecting a returns profile will override any other returns options on this configurator.
  • General settings:

    • Returns accepted: select whether you accept returns for listings created through this configurator. More details here.
    • Refund: select the type of refund offered, the options available are based on your eBay account settings.
    • Return paid by: select who pays for the return postage.
    • Return within: select the time frame when the buyer needs to inform the seller of a return.
    • Detailed return policy explanation: enter a short description of your returns policy.
    • Additional checkout instructions: use this field to explain if the buyer needs to do anything additionally when ordering.

Payment

In the Payments window, you can select payment methods that you accept for your listings created with this configurator:

  • General settings:
    • Ability to pay immediately: enable if you require immediate payment. More details here.
    • In-Store Pickup: enable if buyers can pick the order up at the Seller's local store. More details here
  • Payment methods: specify which payment methods you accept
    • Credit card accepted
    • Other - See item description
    • Payment on collection accepted
    • PayPal
    • Personal cheque
    • Postal order/Banker's cheque

Shipping

In the Shipping window, you can select which shipping methods are accepted for your listings, as well as other shipping settings (Domestic shipping services / International shipping services):

  • Business Policies: if you have access to eBay Business Policies, then you can set up shipping profiles on your eBay account directly. Linnworks can create listings that make use of those predefined profiles. More details here.
    • Default Profile: select a shipping profile for anything you list with this configurator. Please note, selecting a shipping profile will override any other shipping options on this configurator.
    • Extended Property: you can specify 'Business Policy - Shipping Profile' as an extended property on a stock item. This extended property can be mapped in the eBay configurator’s Shipping settings, allowing you to pull the ‘business policy - shipping profile’ from a stock item on an individual basis.
  • General settings: if you have not used eBay's business policies to set up shipping profiles, you can configure your own shipping settings in this screen. Anything you list with this configurator will use these shipping settings.
    • Product location: the country that the item will be dispatched from.
    • State/city: the state or city that the item will be dispatched from.
    • Postal code: the postcode that the item will be dispatched from.
    • Rate: use to define whether you offer a flat rate or calculated shipping. If you are using calculated shipping, then the package type will need to be set on eBay. Linnworks will submit item weights to eBay on listing creation, which eBay will use to calculate the shipping rate. Additional fees for handling can be added in the More Details section (below).
    • Max dispatch time: the maximum number of working days for the parcel to be shipped after the payment. For example: Seller ships within 5 days after receiving cleared payment.
    • Max dispatch time extended property: use to override the default max dispatch time with a dispatch time saved as an extended property of the item. This gives the option to set up different dispatch times for different items while still using the same configurator.
  • Product Location Extended Properties: location details can be saved as an extended property of the item. This gives the option to set up different address details for different items whilst still using the same configurator.
    • Product location

    • Postal code
  • Domestic details:
    • Shipping rate table enabled: instructs the configurator to use the domestic shipping rate table that has been set up on eBay prior to listing. More details here
    • Free shipping: use this option to select which of the advertised shipping services will be free. This list is populated with the shipping services that have been added to the configurator at the bottom of the Shipping window.
  • International details:
    • Shipping rate table enabled: instructs the configurator to use the international shipping rate table that has been set up on eBay prior to listing.
    • Shipping locations: the number shows how many international locations you ship to. Click on the box to display a list of international locations and tick the countries where you wish to allow shipping.
    • Excluded shipping locations: the number shows how many international locations are specifically excluded for shipping to. Click on the box to display a list of international locations, tick the countries that you wish to exclude from international shipping.
  • More Details:
    • Handling price for calculated shipping: specify any additional shipping and handling costs for shipping the items. This can only be used with calculated shipping rates.
    • Promotional shipping discount offered: tick to confirm a promotional shipping discount rule is set up on eBay for buyers who buy multiple items. Read more here.
    • Shipping discount profile Id: click on the box to select a discount profile from the previously defined shipping discount profiles on eBay.
  • Shipping Services:

Use +Add New and Delete buttons to add new services or delete them if needed. Services from this table will be populated in the drop-down for Free Shipping in the Domestic details section. 

Grid

Select a shipping service and click the up or down arrows to change the sequence of the services. The same sequence will be displayed on the listing.

Name

The name of the eBay shipping service. Click the drop-down arrow to display a list of all available services.

Price Default Value

Sets a default shipping price for this service. It will be offered on all items sold via this configurator.

Extended Property

Allows the configurator to replace the default value with a shipping cost stored as an extended property on the item. If the extended property is not present on the item, then the default value will be used.

Additional Cost

Sets a default additional cost for shipping the item.

Extended Property

Allows the configurator to replace the default value with an additional cost stored as an extended property on the item. If the extended property is not present on the item, then the default value will be used.

Shipping Locations

Use to define a set of specific locations that you can ship to with the selected service. This is used for international shipping only.

Weight Rules

Set custom shipping prices based on the weight of the stock item listed.

Association Rules

Control whether or not the shipping service is available depending on the 'BIN' (buy it now) price of the listing.

Categories

In the Categories window, you can select which categories you wish to use for this configurator. The number on the button will stand for the number of categories that you have selected. It is possible to assign up to 500 eBay categories to a configurator but only 2 can be selected for each listing.

The Categories screen is divided into 3 parts:

  • General Settings: categories can be mapped through an extended property of the item. The extended property value must be the exact category ID or name, and appear in the Selected categories grid.
  • Selected categories: every listing created via this configurator will be able to use categories from this table. Tick any category as Default if you wish to use a certain category for this configurator every time. You will still be able to change the category manually on each listing template.
  • Available categories: all categories available on the channel will be displayed here. Select categories that you wish to use for this configurator by clicking the + button.

If you have an eBay store, click on the Store Categories tab to add store categories to a configurator. A listing can be included in up to 2 eBay store categories. 

The Store Categories screen is divided into 3 similar parts: 

  • General Settings: categories can be mapped through an extended property of the item. The extended property value must be the exact category ID or name, and appear in the Selected categories grid.
  • Selected categories: every listing created via this configurator will be able to use categories from this table. Tick any category as Default if you wish to use a certain category every time for this configurator. You will still be able to change the category manually on each listing template.
  • Available categories: all categories that you have created on your eBay store will be available here. Click Settings > Reload to instruct Linnworks to check for an up-to-date list of your store categories. Select categories that you wish to use for this configurator by clicking the + button.

Each category on eBay has a list of item specifics that you will be able to select in the Specifications column.

Specifications

In the Specifications window, select item specifics that you wish to use for this configurator. The number on the button will stand for the number of specifications that you have selected.

Each category on eBay has a list of item specifics. The grid will be automatically populated with the recommended specifications for eBay categories that have been assigned to the configurator. Every listing created via this configurator will be able to use attributes from this table. When selected, you can specify where Linnworks should pick the information up from - the extended property of the item or the Default Value column in this screen. 

Use +Add New and Delete buttons to add new specifics or to delete any existing ones.

Variations (only for variation listings)

To create a variation listing, you need to have a variation-compatible configurator that has variation attributes added in the Variations column.

As an example, it can be colour, size or type, so each variation child item will have its own value that will be available in a drop-down menu on the listing. 

The Variations section consists of two parts:

  • General settings:
    • Use main item images only: tick if you want to display images on the listing from the main item only and keep all other images disabled. Otherwise, each child item will have its own image.
    • Extended property for variation title: if you have stored the listing title as an extended property on the variation parent item, then you can use this option to select that extended property. Otherwise, Variation Group Name will be used as the listing title. 
  • Variation specifications: to add a variation attribute, click the +Add New button > type a name of the attribute > click +Add. From the Extended Property drop-down box select the extended property that will contain this variation value on the item. If for some reason any of the variation child items will not have that extended property, use the Default Value cell to add a generic value for such items. 

Variation Limitations 

eBay has limits on the number of variations and attributes that can be specified on a listing. The current limitations are as follows: 

  • 5 Variation Types including MPN
  • 250 Unique Variations per Listing

Description 

The Description window contains the HTML code for the design of the eBay listing, you can add and edit the HTML description that will be used for listings created via this configurator. A detailed guide can be found here.

Once all of the above is set, you can proceed to My Inventory screen to create listings.
