Edit Product Details - Listing Descriptions

Overview
Listing Descriptions allow customising of listings on a per channel basis. For instance, a single SKU having a different price on Amazon as opposed to eBay.

Editing a Single SKU

The Listings Descriptions tab is split up into 3 sections:

 Product Pricing by Channel

Product Pricing by channel is used primarily to allow Linnworks to automatically apply Price updates to a channel when the option is enabled. For more information on this please refer to the Inventory Updates documentation. To add a new channel-specific price:

  • Click Add New
  • Add the required data:
    • Default: Ticking this will add a default price. As such, Source and SubSource fields are disabled when this option is ticked
    • Source: This is the Channel Source, such as Amazon, eBay or Newegg
    • SubSource: This is the SubSource or name given to your channel integration
      • For eBay this may, also require a site suffix such as EBAY0_UK or EBAY0_DE
    • Price: This is the desired channel specific price
    • Status: The current status of the price update
    • Tag: This can only be used for eBay accept, decline and start pricing, see below for details
  • To save the price, click Add
  • Click Save

Note that a Start price tag will only be used for auction listings

Existing entries can be edited using the  icon. When you have finished editing, press Enter to save the changes   

To delete a channel specific price:

  • Click the appropriate price to highlight it
  • Click Delete
  • Click Save

Price Change Statuses

Status Icon Description
  Save Required: The price won't be submitted until you save the changes you have made to the stock item
  Pending: The price is waiting to be submitted, or Linnworks is waiting for the channel to confirm that the submisson was sucessful
  Success: The channel has confirmed the price change was recieved sucessfully
  Error: An error caused the price sync to fail. For more information, check your Automation Logs
  No Change: The price has not changed, so no submission is required

eBay Accept and Decline Prices

For eBay fixed price auctions, it is possible to add accept and decline prices so that offers received can be automatically accepted or declined without intervention. If the ebay SubSource has price change enabled, accept and decline prices will be added to the listing when the price is revised. To add accept and decline pricing, please do the following:

  • Click Add New
  • Add the following information into the pop up window:
    • Source: EBAY
    • SubSource: The SubSource name as it appears in the Channel Integration screen
    • Price: The default price offered to registered business account holders
    • Tag: Choose either ACCEPT, DECLINE or START
  • Click Add
    • These prices are not saved to the stock item until the Save button on the Product Details window is clicked

Repeating the above process and leaving the tag field blank will set the BIN price for the item on this SubSource. Once all 3 prices have been added for a given subsource, they can be distinguished with the Tag column on the Listings Description page  

If Linnworks is set to automatically relist eBay listings when new stock becomes available, the channel specific price saved in this screen will be used for the new listing, and not the price of the original, ended listing.

Amazon Business Prices

Amazon Business Prices provide sellers with opportunities to sell B2B through Amazon. Buyers who are registered as a business' with Amazon will be able to take advantage of these prices. Additionally, it is possible to offer discounts to these prices based on the quantity of product ordered on either a percentage of the business price or flat rate discount.

To add an Amazon Business Price

  • Click Add New
  • Add the following information into the pop up window:
    • Source: AMAZON
    • SubSource: The SubSource name as it appears in the Channel Integration screen
    • Price: The default price offered to registered business account holders
    • Tag: This must be set to BUSINESS. Leaving this blank will offer this SKU at this price to normal Amazon customers
  • Click Add
    • These prices are not saved to the stock item until the Save button on the Product Details window is clicked

 Product Titles by Channel

To add a new channel specific title:

  • Click Add New
  • Add the required data:
    • Default: Ticking this will add a default title. As such, Source and SubSource fields are disabled when this option is ticked
    • Source: This is the Channel Source, such as Amazon, Rakuten or Newegg
    • SubSource: This is the SubSource or name given to your channel integration
    • Title: This is the desired channel specific title
  • To save the title, click Add
  • Click Save

Existing entries can be editied using the  icon. When you have finished editing, press Enter to save the changes 

To delete a channel specific title:

  • Click the appropriate title to highlight it
  • Click Delete
  • Click Save

 Product Descriptions by Channel

Product descriptions by channel are used as part of the listing via My Inventory functionality. As the HTML editor for product descriptions is the same as the editor for configurators, rich content can be generated, but it is not recommended. Adding content beyond a basic description can lead to a significant amount of maintenance should you decide to alter the description in the future. See the Examples and Good Practice section below for further information

To add a new channel specific description:

  • Click Add New
  • Add the required data:
    • Default: Ticking this will add a default title. As such, Source and SubSource fields are disabled when this option is ticked
    • Source: This is the Channel Source, such as Amazon, Rakuten or Newegg
    • SubSource: This is the SubSource or name given to your channel integration
  • Click Add
  • Click the pen icon in the Description column on the relavent row
  • A new editing window will open. The options available in the edit window are covered in the Description Edtiting Window section, in this document
  • When you are happy with your description, click Save
    • If you wish to apply this description for other channels, please see the section below
  • Click Save

Saving Descriptions to Multiple SubSources

Linnworks allows the saving of the same description to multiple SubSources of the same Source. For instance, a description for a SKU on EBAY0 can be copied to the SubSources EBAY1, EBAY2 and EBAY5 by using the save to multiple option. Edit the description on any of the SubSources you wish to be affected and then do the following:

  • Carry out the above steps up to the point you are ready to save the description
  • Click the downwards arrow to the right of the Save button and click Save to Multiple
  • Click the column header to select all SubSources
  • Untick any SubSource that you do not wish to have this description
  • Click Save to Selected
  • Click Save

If you wish to edit the description for all integrated channels, then please edit the Default description. If there is no default description, it can be added by ticking the Default checkbox when adding a new description . When using the Save to Multiple feature with the default template, it will show all integrated SubSources. Please be aware that these descriptions are most commonly used for the Listing via My Inventory functionality.

Examples and Good Practice

Generic Descriptions

Using Item Description Tags, it is possible to make generic desriptions and have the content stored in extended item property tags. This means that in order to change the wording of a description, only the extended item property needs to be changed, which avoids altering HTML code for every change. Similarly, if the description style is to be changed, there is no need to work around the wording as the description will only contain tags where the text will be displayed. Below is an example for a pot of paint.

Vallejo Game Colour paints designed specifically for miniature painting. With the unbeatable combination of vivid pigment, hardwaring finish and convenient dropper bottles, Vallejo is a must-have in your painting arsenal.

This can be represented using extended item properties to store the bulk of the content. In the following code snippet, the features are saved as an extended item property named FeatureX, where X is a number and the description text has also been saved as an extended item property called DescriptionText. This code snippet could then be uploaded in bulk via CSV file to all SKUs that are going to be listed. When uploading via CSV, the HTML needs to be present so that the desired formatting is used.

Use of Expressions

As described above, if a description tag is used that has no data stored in it, nothing will be displayed. By using expressions, it is possible to check whether a description tag contains data in order to alter the listing without having to change the product description tag.

If a SKU only had 2 features, there would be a bullet point with no accompanying text. Using the following expression would solve this problem by only displaying the bullet point if the feature tag contained text:

The IF statement checks a logical condition. If the condition is true, it prints the code inbetween the IF and END IF blocks. The logical statement in this case uses the != operator, which means 'not equal to'. The double quote after this operator is the equivalent to checking whether the tag contains any data. This priciple can be expanded to any number of tags

 Description Editing Window

The editing window has two main modes. Text can either be added in the Visual Editor or as HTML Source. The Visual Editor is similar to word processing software, with more media centred features. If you have HTML templates pre-designed, click HTML Source and paste the HTML code into the window. 

Note: Any changes made via the WYSIWYG visual editor to a description containing HTML already may corrupt the original HTML

Description Tags

At the top of the edit channel description window, there is a dropdown box containing Linnworks tags that relate to product information or extended item properties. These can be used to create dynamic content so that the same description can be used for multiple SKUs with alteration.

To insert a tag, click the box at the top of the edit window and select a tag from the dropdown menu. Please note that this is linked to data associated with the SKU and so if a tag is used for which there is no data, it will appear blank. Additionally, extended item properties that have been applied to any SKU in Linnworks appear in this dropdown, regardless of whether they apply to the SKU being edited. They will also appear blank, if there is no data for that tag on the SKU being edited.

Description tags are not replaced with the relevant data until they are sent to the channel. This ensures that channel descriptions will be using the most up to date information, as SKU attributes may be changed from time to time. Tags can be identified by the use of brackets and braces around a keyword, for instance; [{PRODUCT_INVENTORY_TITLE}].

Extended Properties

In addition, it is possible to display extended properties from the Linnworks Inventory items in the live listing. As users can define the Extended Properties themselves we can not provide a definitive, however below is an example of the format that would be used

Edit Window Functions

Most of the buttons and menus are simiar to those found in word processing software, however, there are a few extra buttons that either differ, or are less common in word processing.

Font FamilyFont Family

Clicking this button will display a list of available fonts. To use them, highlight the text you wish to change the font for and select a new font from this menu.

Font SizeFont Size

From this menu, a number of pre-defined font sizes can be selected. In order to alter the font size, first highlight the text you wish to alter and then select a new font size from this menu.

FormatsFormats

This is a selection of pre-formatted styles that can be applied to text and tags. To use them, first highlight the text you wish to format and select the appropriate style from the dropdown box. Please note that multiple formats can be applied to the same text; for instance, heading 1 and Italic.

Images

Dimensions This is the desired height and width of the image. Ticking Constrain Proportions will resize the image as close to the desired dimensions as possible while maintaining the ratio of height:width of the original image

Video

Alternative Source This can be used to supply an alternate version, for instance; in another file format, incase the first file is not supported by the browser
Poster This is the address of a static image that will be displayed while the video file loads
Dimensions This is the desired height and width of the video. Ticking Constrain Proportions will resize the video as close to the desired dimensions as possible while maintaining the ratio of height:width of the original file
Image Menu Embed Video hosting services such as YouTube or Vimeo provide "Embed" code so that videos hosted on their websites can be placed on external websites

Fullscreen

Clicking this will maximise the edit window to the size of the browser window. This will not also maximise the browser window itself. Clicking this button again reduces the size of the edit window. Please note that when in fullscreen mode, the dropdown box of description tags will not be visible.

Editing in Bulk

Channel specific product prices, descriptions and titles can be uploaded in bulk via CSV file as an Inventory Import. For further information on bulk importing, please see our import documentation.
