eBay Inventory Synchronization

Overview

This module allows you to synchronize your stock levels with eBay listings. This feature is designed to prevent you from overselling on eBay when an item is sold on another channel (such as Amazon, Play.com, Magento or any other type of websites), this module also makes it easy to take control of your listings on eBay as it will no longer be necessary to relist or adjust listings.

The system will perform the following tasks:

How to use

To enable eBay inventory synchronization go to Settings > Automation > Stock Control > eBay Inventory Watch.

Here you will see all your integrated accounts in the list, to enable the Inventory Synchronization for a particular account tick Inventory Control checkbox.

Each account has it's own inventory synchronization configurations and options. Click on Config to change the configuration

All my listings have unique SKU (custom label) which uniquely identify products - this setting tells Linnworks that matching to inventory should take SKU (custom label) into account. Only use this setting if your listings uniquely identify the product in your inventory by SKU. This is optional, the system is perfectly capable of matching to inventory product by listing title, but it is highly recommended you have SKUs on all your listings for more accurate matching.

Create stock items from listings if it doesn't exists in the inventory - when a system comes across a listing which cannot be matched to any of the inventory items - it will attempt to create new stock item with listing title being product name, SKU as ItemNumber (if exists, if not it will be generated automatically) and the stock level being currently listed quantity on eBay. Revise available quantity in listings to reflect my stock level - the system will be changing available quantity on eBay to reflect stock levels in Linnworks. When stock level changes in Linnworks due to new order, shipment or new stock arriving, all Fixed Price listings linked to this stock item will be revised to show your current stock level.

End listings when stock level = 0 - the system will end listings when stock level reaches 0. Please not that if you have multi-variant listings and Revise available quantity is enabled, the variant listing may be ended irrespective of this setting when all variants are 0. Relist Ended when have stock - the system will be relisting ended listings when you have stock for the linked product. For multi-variant listings the system will relist the item with only variants you have in stock.

Manual Confirmation Not Required - all actions Linnworks will take against your listings can be confirmed or rejected by user. By specifying this setting you tell the system that you don't want to see a prompt window for Revise, End or Relist actions. (see Action Confirmation section of this manual for more details)

Mapping listings to inventory

For inventory synchronization to work you need to link listing to an inventory item. The linking is done automatically when possible, and all listings that don't match any of the products will need to be linked manually (see How Linnworks matches listings to inventory)

Click on Mapping Tool button for each integrated eBay account in eBay Inventory Watch settings to bring up Mapping tool. This screen displays all your Active listings on eBay for this account, from this screen you can do the following actions

When SKU mapping is enabled

Note that if you have SKU specified in the listing which matches Item Number in stock item, the linking will be created automatically and you cannot unlink this item. It will remain linked even if you perform manual unlink.

The same applies to if the listing title matches stock item title. Even if it is unlinked manually, the listing will be automatically linked next time the system synchronizes or Mapping Tool is launched.

When SKU mapping is not enabled

Action Confirmation

When Action confirmation is enabled for a particular actions (Revise, Relist or End) the system will show an Action Confirmation prompt when you synchronize for all listing adjustments Linnworks about to make. The actions will be split into sections - Change, End and Relist. Each showing which listings will be affected. You can approve the action or reject it by ticking Agree checkbox on each line.

Viewing Logs

The system keeps detailed logs of all changes to the listings. You can review this logs by clicking View Log button for each integrated account in eBay Inventory Watch configuration screen.

The screen splits the logs into 3 sections, Active Listings, Pending Relist and Ended (latest 10000 listings are shown for Ended listings). To view the log double click on the record to bring up the log of the changes and actions (only actions performed or rejected by Linnworks are shown in this log any direct actions on eBay are not recorded here)

Remove listing from inventory control

It is possible to strike off individual listing from inventory synchronization. The actual listing will not be affected on eBay in any way, this action will tell Linnworks to completely ignore this listing in all aspects of inventory control. To a listing Strike Off go to View Log, find the listing you want to strike off in the Active Listings tab > right click on the record > Strike Off

Remove listing from Pending Relist

You can remove listing from Pending Relist by going to View Log > Pending Relist tab > find the listing > right click on the record > Remove From Pending. The actual listing on eBay will not be affected in any way.
