Overview

 

This document describes how to set up eBay integration within Linnworks. Here you can also find information about what functions Linnworks can perform while working with eBay and how to configure this channel.

Setting up eBay integration

eBay integration allows the system to

  • Automatically download new orders from eBay
  • Mark items as dispatched on eBay
  • Send out confirmation emails to eBay registered email address
  • End listings on eBay if you run out of stock
  • Automatically relist items which are linked to stock
  • Revise listing to adjust quantity available
  • Download product pictures from eBay

To set up eBay Order Book integration go to Settings > Channel Integration. From this screen you can add, delete and modify selling channels that you wish Linnworks to integrate with.

Click the Add new channel button on the right of the screen to bring up the New Channel selection screen. Now select eBay from the list and click Integrate.

You will be presented with the eBay Account Setup screen, which will walk you through the process of integrating your eBay account with Linnworks. Select the site location and enter your eBay user name before pressing the Authorize through eBay button.

Your default browser will direct you to the eBay sign in page where you can grant Linnworks access to your eBay account.

Log in with the account you wish to integrate and after reading through the terms and conditions click I agree (If you agree) to allow Linnworks to communicate with your account.

[Warning] Make sure you login with the correct account.

Configuring eBay Integration

Once you have set up your eBay account to work with Linnworks it will appear in the list of channels on the Channel Integration screen. From here you can enable / disable integration and inventory sync for each individual channel as well as configuration and inventory mapping tools.

Enabled

To enable / disable individual channel integration within Linnworks, simply click the small circle in the Enabled column that corresponds to the channel you wish to alter. A green light means that the channel is enabled in Linnworks, while a red light denotes that it is disabled.

Inventory Sync

The same process applies to the Inventory Sync function, clicking a circle will toggle between enabled and disabled for the specified channel. A green light means that the Linnworks will sync inventory with this channel while a red light indicates that it will not.

Config

Clicking the Config button for a specified channel will bring up the Account Config menu for that channel.

This screen has the following options:

Mark as despatched – If this is ticked Linnworks will send Order Processed, Tracking number and selected shipping service to eBay once an order is despatched.

Update Inventory – If ticked, Linnworks will be updating listings on eBay. If no stock is left, the listing will be ended. If you have stock the Available quantity listing will be updated. If the listing ended and you get more stock in, the listing will be relisted.

Mark as paid only if PayPal Transaction exists – An order or transaction will be marked as paid only if the Transaction ID exists for the order. (I.e. paid for with PayPal or CC)

Do NOT download orders marked as despatched – Only orders that are NOT shipped will be downloaded. It is highly recommended to have this option on.

Inventory Mapping – Tells Linnworks how order item is mapped to inventory. If you have SKUs specified for all listings, check Use SKU. If your listing titles overlap for different products, check Ignore Linked titles as well.

Last Sync (UTC) – Last time the system synchronised. Leave it alone if everything is working ok.

Last Inventory Sync (Server) – Last time inventory synchronised. Leave it alone if everything is working ok.

Inventory Sync Settings

Inventory to Listing Mapping – Tells Linnworks it is safe to relay on SKU specified for every listing on eBay for inventory mapping. Only check this option if ALL of your listings have SKUs specified.

Create stock items automatically – Will automatically create stock item if it is not linked to anything. Not a good idea if you have any another channel integrated

Inventory Update settings – Tells Linnworks how what Inventory Synchronisation does.

            Revise Listings – Changes available quantity.

            End Listings – Ends listings if no more stock available.

            Relist Listings – Will relist the listing if it has ended and there is still stock available.

            No Manual Confirmation – Checking this means the system will NOT prompt you to confirm the inventory sync actions. It is a very good idea to have prompts turned on during the first weeks of working with the system. Once everything is set up properly you can turn the prompts off.

Auto Accept / Auto Reject – When inventory sync prompt comes up, you have 120 seconds to confirm or reject the actions. This option tells the system to automatically accept or reject all actions if no input is received from the user.

Select Apply Changes to confirm all alterations made on this screen.

Configuring Shipping Service allocation for eBay account

To enable Linnworks to display the shipping service the customer selected on eBay at the time of the checkout, you need to allocate eBay shipping services to Linnworks services.

Follow the steps to allocate ebay services:

  • Settings > Channel Integration > ebay account > Config
  • click Map Services
  • Select the matching Linnworks service from the drop down for each service you use on eBay.
  • You can create new service in Linnworks with the same name as on eBay by double clicking on the item in the list
