Tesco Click and Collect Orders

Overview

This guide is a walk-through of the steps required to configure your Tesco integration, so that Click and Collect orders can be processed, shipping labels printed, and tracking numbers received.

Prerequisites

To process Tesco click and collect orders you must have item weights stored on your SKUs. These weights do not have to be accurate and can be a placeholder instead. Weights can be added to your products manually or by using the Data Import tool.

Quick Guide

1. Create a new import on the Yodel Online Website.

2. Download and Login to NetDispatch Velocity Connector.

3. Configure the Auto Import settings in the NetDespatch Velocity Connector Software.

4. Configure the Label Printing settings in the NetDespatch Velocity Connector Software.

5. Configure the Printer Configuration settings in the NetDespatch Velocity Connector Software.

6. If you wish to use a proxy server, configure the communications settings in the NetDespatch Velocity Connector Software.

7. Set up a new Postal Services Method in Linnworks called 'Tesco_ClickandCollect'.

8. Change the Linnworks weight measure to Kilograms.

9. Go to Settings -> Channel Integration. Select Config next to your Tesco channel.

10. Click Allocate and map 'Store_Collect' and 'MKTPLACE_Store_Collection' to the 'Tesco_ClickandCollect' shipping service. 

11. Set up a new Custom/Bespoke Courier.

12. Change the Batch Size on the newly created custom/bespoke courier and add the 'Tesco_clickandcollect' shipping service.

13. Configure the Custom/Bespoke Courier to export your Tesco Click and Collect orders.

14. Configure the Custom/Bespoke Courier to import the order tracking numbers.

15. Turn on Auto Import in the NetDespatch Velocity Connector Software.

Detailed Guide

1. Create a new import on the Yodel Online Website.

  • Go to https://emea.netdespatch.com/ and login using the credentials provided by Tesco/Yodel. Fig 1.1
  • Click on Import Wizard > HDNL Standard Order Import > Edit.
  • Change the description to "Linnworks" and setup the columns as shown in the PDF which can be found here. Please note that some settings vary from seller to seller and should therefore be confirmed with Tesco/Yodel. 
  • Click Submit

2. Download and Login to NetDispatch Velocity Connector.

  • Go to https://java.com/en/download/index.jsp and follow the instructions to download and install Java.
  • Go to http://emea.netdespatch.com/remote/ and follow the instructions to download the NetDespatch Velocity Connector.
  • Open the Velocity Connector and click Login under tasks. Fig 2.1
  • Enter your login credentials as provided by Tesco/Yodel, tick Remember Password and click Log-In. Fig 2.2

3. Configure the Auto Import settings in the NetDespatch Velocity Connector Software.

  • Click on Configuration and ensure you are on the Auto Import tab. Fig 3.1
  • Set the file encoding to UTF-8.
  • Enter the Inbox Path as the location you would like your order exports to be saved.
  • Enter the Outbox Path as the location you would like your order imports to be created.
  • Enter the Backup Path as the location you would like your click and collect files to be backed up to.
  • Set the Import Config to the Linnworks import format you setup in step 1. If you cannot see the import, click the Refresh Imports button.
  • Set the Import Type to Live using the dropdown list.
  • Set the Days to keep backup files to the amount of days you would like to keep the files in the backup location.
  • You configuration should look similar to the one shown in Fig 3.2. Click Save Configuration.

4. Configure the Label Printing settings in the NetDespatch Velocity Connector Software.

  • Select the Label Printing tab. Fig 4.1
  • Double click on Label Printing Configuration and then click the plus icon next to Available Services Styles. Fig 4.2
  • Click the plus (+) icon next to any accounts which appear and then click on the Click to refresh accounts option where visible.
  • Right click the account you wish to use for click and collect orders and select Register for Label Printing. Fig 4.3
  • Click Save Configuration.

5. Configure the Printer Configuration settings in the NetDespatch Velocity Connector Software.

  • Click on the Printer Configuration tab. Fig 5.1
  • Select the printer you wish to use to print labels from the Windows Name dropdown list.
  • Tick Use Printer Selection to be able to select the printer to use for each set of labels printed.
  • Tick the Print Graphics option if you would like print graphics (logo, print lines etc.) on labels.
  • Set the Media Type as the label or paper size used by your printer.
  • Change the Margin offsets to change the position of the top left hand corner of the label.
  • Click Print Test Label to print a test label.

6. If you wish to use a proxy server, configure the communications settings in the NetDespatch Velocity Connector Software.

  • Click on the Communications tab. Fig 6.1
  • Tick Use Proxy Server.
  • Enter your proxy server information into the Proxy Server and Port fields.
  • Enter your login credentials for the proxy server into the User Name and Password fields.
  • If the NTLM Domain field becomes visible, enter your domain here.
  • Click Save Configuration. Fig 6.2

7. Set up a new Postal Services Method in Linnworks called 'Tesco_ClickandCollect'.

  • Click on Settings at the top of the screen. Fig 7.1
  • Select Postal Services Methods. Fig 7.2
  • Select the Click here to add new row message located at the top of table of services. Fig 7.3
  • Type 'Tesco_ClickandCollect' in the Service Column and 'Yodel' in the Vendor Column.

8. Change the Linnworks weight measure to Kilograms.

  • Click on Postage Settings. Fig 8.1
  • Change the Weight Measure option to Kilograms using the drop-down menu. 8.2

9. Go to Settings -> Channel IntegrationSelect Config next to your Tesco channel.

  • Select the Settings tab at the top of the screen. Fig 9.1
  • Click on Channel Integration. Fig 9.2

10. Click Allocate and map 'Store_Collect' and 'MKTPLACE_Store_Collection' to the 'Tesco_ClickandCollect' shipping service. 

  • Select the Allocate option next to 'Direct Shipping and Click and Collect'. Fig 10.1
  • Select the dropdown next to the 'Stock_collect' and 'MKTPLACE_Store_Collection' and select 'Tesco_ClickandCollect'. Fig 10.2
  • Click Save and Save again.

11. Set up a new Custom/Bespoke Courier.

  • Click on Settings > Shipping ManagementFig 11.1
  • Select the configure icon next to Custom/Bespoke Courier.
  • Click Add New, give the config a name and click OK. Fig 11.2

12. Change the Batch Size on the newly created custom/bespoke courier and add the 'Tesco_clickandcollect' shipping service.

  • Click the edit icon next to the newly created Custom/Bespoke Courier.
  • Change the Batch Size to 1 Records. Fig 12.1
  • Click Addselect the Tesco_ClickandCollect Postal Service and click Select. Fig 12.2

13. Configure the Custom/Bespoke Courier to export your Tesco Click and Collect orders.

  • Click the Options button next to Export File. Enter the File Path as the inbox location specified in the velocity connector and un-tick Column Headers and Text Separator. Fig 13.1
  • Click OK.
  • Add the columns shown in the below 'Export File' table to the Export File section. Fig 13.2

14. Configure the Custom/Bespoke Courier to import the order tracking numbers.

  • Click the Options button next to Import File. Enter the File Path as the outbox location specified in the velocity connector followed by *.csv. Un-tick Column HeadersText Separator and Wait for Export File to be Deleted. Fig 14.1
  • Click OK.
  • Add the columns shown in the below 'Import File' table to the Import File section. Fig 14.2

15. Turn on Auto Import in the NetDespatch Velocity Connector Software.

  • Click on Configuration and select the Auto Import tab within the NetDespatch Velocity Connector software.
  • Tick Auto Import. Fig 15.1

Processing Orders 

Orders will be exported to the NetDespatch Velocity Connector once a shipping label is printed in Linnworks. The orders will then be sent to Yodel. If the total weight of an order adds up to less than 1KG, this will be rounded to 1KG as this is the minimum weight that Yodel will accept.
